AI customer support with a defined route to your team

Devs Group offers AI customer-support agents using business information and configured helpdesk or CRM context. A useful deployment defines which questions the agent can answer, which actions it can take and when a person takes over.

Start with the support requests you can resolve

Choose a defined group of questions, such as service information, request status or approved troubleshooting. Identify the source behind each answer and the person who maintains it. If sources conflict or the answer is missing, the agent needs a clear fallback instead of an invented answer.

Specify the support deliverables

Agree the knowledge and operational outputs as part of the scope. Coverage depends on the sources and systems approved for the project.

  • A reviewed knowledge set with update owners and excluded topics.
  • A map of ticket categories, routing rules and permitted customer-record actions.
  • Escalation messages, staffed hours and an out-of-hours response.
  • An acceptance set covering incorrect answers, unresolved requests and failed system actions.

Example: a question that needs account context

Illustrative workflow: a customer asks for the status of a service request. The agent follows the agreed identity and access checks, reads the permitted status from the connected system and explains it. If the record cannot be accessed or the customer disputes the result, it sends the case to the support queue with the relevant context. This is a planning example, not evidence of a live deployment.

Confirm the knowledge and helpdesk dependencies

List the helpdesk, CRM and knowledge sources the workflow needs. Define which records it can read, create or update and how access is restricted. Decide which system owns the final case status. A ticket creation response is evidence that a ticket exists; it is not proof that a person accepted it or that the issue was resolved.

Make escalation usable for the customer and team

Name the destination, transfer reason, context to pass and acknowledgment required. Give the customer a usable route when they ask for a person. State staffed hours in GMT+4 and define what happens outside them. If a queue is unavailable, preserve the unresolved state and use the approved fallback; do not promise a response time that the team has not agreed.

Check the support pilot against difficult cases

Use representative questions and exceptions. Set pass criteria with the team that will own the support service.

  • An outdated or missing policy does not produce a confident unsupported answer.
  • A request for a person reaches the agreed route.
  • An inaccessible account record does not expose another customer’s information.
  • Duplicate messages do not create uncontrolled duplicate tickets.
  • Failed actions, reopened issues and unaccepted handoffs remain visible.

Assess cost and service outcomes

Setup depends on knowledge readiness, channel coverage and helpdesk complexity. Ongoing costs can include usage, knowledge updates, monitoring and human support. Compare correctly resolved issues, repeat contacts, reopened cases and accepted escalations over the same period. Faster first replies can be useful, but must be assessed alongside answer quality and completed customer tasks.

Questions to settle before launch

Is automated availability the same as 24-hour human support?

No. Automated availability and staffed support hours are separate. Agree the human team’s hours, response targets and out-of-hours fallback for each workflow.

Can the agent change a customer record?

Only where a supported integration and explicit permissions allow that action. Confirm identity checks, the fields in scope, approval rules and recovery from a failed update.

What knowledge should we prepare first?

Prepare current policies, service descriptions, common questions and representative unresolved cases. Name the owner of each source and remove contradictions before relying on it for customer answers.
