How to Sync AI-Captured Contacts Into HubSpot Without Duplicates
Identifier strategy, upsert semantics and batch limits for writing AI-captured leads into HubSpot without creating duplicate records.

The short answer
The duplicate question in a CRM fed by an AI agent is decided before any integration code is written, in one configuration choice: which field identifies each contact when it arrives. HubSpot's contacts documentation describes the email address as the primary unique identifier for avoiding duplicate contacts, and it recommends always including email when a record is created. The documented create-or-update path is the batch upsert endpoint, which matches on either email or a custom unique identifier property: after the request, contacts that already exist are updated and contacts that do not exist are created. The vendor documents that behavior; verify it with test records during your pilot rather than assuming it.
For a business whose agent captures leads with an email address, email is the workable choice, and our suggestion is to make it the default. The documentation requires at least one of three properties when creating a contact — email, first name or last name — so a name-only record is technically possible. Our suggestion is not to rely on it: the upsert endpoint's documented matching fields are email and custom unique identifier properties, so a record built from a name alone is not a documented way to stop a returning contact from duplicating.
One documented limitation matters for phone-first workflows. The guide states that partial upserts are not supported when email is the identifier, and that completing a partial upsert requires a custom unique identifier property instead. The page does not spell out what a partial upsert covers operationally, so confirm what it means in practice with your integration provider before designing around it. What it does point to is a timing decision: if your agent will capture contacts without an email — realistic for a Dubai or Abu Dhabi business whose conversations run over WhatsApp or voice — the identifier cannot be chosen after launch. Our suggestion is to define a custom unique identifier property, such as an internal customer ID number, before the first record is written.
Two operational limits shape the write loop. Batch operations are limited to 100 records at a time, so a sync routine needs to split larger queues into chunks of at most 100. For batch create, you can also enable multi-status errors, which report which records were successfully created and which were not; our suggestion is to log per-record outcomes rather than assume the whole batch landed. A record the agent believes it saved but HubSpot rejected is a gap the sales team will hit later.
If duplicates already exist, the contacts guide lists a merge operation for two contacts. That is cleanup, not a prevention strategy. The decision to resolve before building: confirm which identifier the agent can always supply, choose email if it can, choose a custom unique identifier property if email will sometimes be missing or the workflow will meet the partial-upsert limitation, and make supplying that field a hard requirement in the agent's output.
